New Website Content Request Form

Completion Instructions:

This form is designed to make the design process as simple as possible for both of us. Just go through each step and add/answer whatever is required.

It’s important to include as much information as possible so I can accurately create the basic framework and design for your new website. Some types of information inform me about your website’s required functionality, so this phase is critical in ensuring I setup the best layout possible first time round – with minimal restructuring later on.

If you aren’t sure of all the content you want included as yet (or where you want it to be on the website), just note down what you do know and we can discuss via email afterwards.

Be assured all information you provide will be treated strictly as Commercial in Confidence. I am the sole person with access to this information and it is stored securely on my servers.

Feel free to get in touch with me here if you have any questions while completing this form.

New Website Onboarding - Content Request Form

PROJECT CONTACT DETAILS

Please nominate the main contact person for this website development project and include their daytime contact details.

NOTE: these contact details will not be used on the website and are solely for project contact use.
Public contact information is requested further on in this form.

This next section is OPTIONAL - it's an alternate contact person for this project in the event that the main contact is unavailable for an extended time.

LEAVE THIS SECTION BLANK IF YOU DON'T HAVE A SECOND CONTACT PERSON.

NOTE
: these contact details will not be used on the website and are solely for project contact use.
Public contact information is requested further on in this form.

This next section is about the business or organisation this website is being built for.

You will see next to each question whether the requested information is for public display on website or for other listed use.

CONTACT INFORMATION FOR PUBLIC DISPLAY ON WEBSITE

PHYSICAL address to be publicly displayed on website:

NOTE: If you do not want a physical address listed, I'd strongly recommend either an alternate post office box address or at least the suburb/locality and country. This shows your website is backed by a genuine business as the potential customer can validate this through searches.

POSTAL address to be publicly displayed on website:

Note: I strongly recommend displaying a phone number where possible as it shows your website is backed by a genuine business. If you cannot display a phone number for privacy reasons, then I'd recommend setting up a direct messaging option such as Telegram, WhatsApp or Messenger to allow 'live' contact.

Phone number to be PUBLICLY displayed on website:

Direct messaging link to be PUBLICLY displayed on website:

Business / Entity Registration Numbers needing to be publicly displayed on website:

DOMAIN NAME ('www' address)

List below 3 domain names you would like to register (if available) in order of preference.

Please note: to register a .com.au address, you will need to have a current ABN, ACN or BN to be eligible. Otherwise you will need to choose a .com, .net or .org address instead.

LOGIN DETAILS

Include below all login details potentially needed for access to:

  • Current websites (to copy over text, images and other data)

  • Domain registration (to reassign to new website when ready to go live)

  • External applications needing to be connected to new website

  • Any other portals I will need to access.

LOGO

I will contact you to send me the logo images separately.

New Logo Design Service

I can design you a simple logo to use on your website and everywhere else you need to.

I offer this additional service at an additional cost of $89.00 AUD.

My custom logo design service includes:

  • Up to 5 design revisions (to ensure you are happy with its appearance)

  • All electronic formats provided to you via download (so you have the logo in all major formats typically needed for future use).

Without a logo, I will need to use generic text and images and this is not as effective in conveying your online image to visitors.

I will create one for you at no extra cost (I will email you separately about this).

I will contact you to send me the favicon image separately.

COLOUR PALETTE

List the HTML colour codes for your colour palette, i.e. HEX and/or RGB and/or CMYK.

If you don't have all three different code types for each colour, just add the codes you do have.

If you don't have any of the exact colour codes, include the best description of the colour you can and then email through a copy of either a printed item you have or existing electronic logo or image showing your existing colours. *

* Important note if you don't have any colour codes: Please be aware that without specific codes I cannot guarantee 100% accuracy for your colour palette. All devices (screens, phones, tablets, laptops, etc.) and printers render colour pigmentation differently, which is why these exact codes exist. While I will do my absolute-best to match your desired colours, the only way I can guarantee 100% accuracy for colours on your website is with exact HTML colour codes.

Palette - Primary Colour:

Palette - Secondary Colour:

Palette - Accent Colour # 1:

Palette - Accent Colour # 2 (if applicable):

List below 3 colours you use within your business marketing already OR that you would like to create a new colour palette from (even if just ideas - I can construct you some sample palettes to view and approve).

If you have the exact HTML colour codes for your desired colours, please include them below as well.

For some colour ideas and to find exact HTML colour codes (my preferred option!), visit https://imagecolorpicker.com/ and then copy and paste the HTML colour codes form your chosen colours below.

Some information about how colours are used in a palette:

The Primary Colour serves as the signature brand identity, used most frequently throughout your website (approximately 60% of a design). It will be used on key elements like navigation bars, main buttons, and backgrounds.

The Secondary Colour helps 'support' the primary colour and occupies about 30% of a design. It helps add depth, contrast, and visual variety in sections, illustrations, or supporting graphics.

The Accent Colour(s) are used sparingly (roughly 10%) as a bright, distinct element to draw the eye to critical actions, such as call-to-action buttons, banners, or highlights.

So consider the above 60-30-10 rule when thinking about your website's colour palette.

TYPOGRAPHY (FONTS)

List the components within your Font Style Guide below:

I will email you with some ideas on different font selections for you to approve.

SOCIAL MEDIA CHANNELS

Social Media and Instant Messaging Channel Links

Add all relevant social media/instant messaging URLs (links) below for display as clickable icons within the website's header and footer regions to encourage new followers on your channels.

If you don't already have social media profiles or instant messaging options for your business/organisation, I'd recommend setting up at least one channel up and then including the profile link below.

WEBSITE PAGE CONTENT REQUIRED

WEBSITE HEADER SECTION CONTENT (including Header Menu and Hero Image)

Your website's Hero is the large image with a headline call-to-action that sits at the top of your website.

This needs to address your visitor's direct interest quickly, so consider what customers and clients are looking for when they approach a business in your industry to create a headline that will keep a visitor on your website.

Some examples include:

  • "Tired of shoes that don't fit? You're in the right place."

  • "Are you Gluten-free? Eat with confidence in our restaurant".

  • "We are the experts in luxury Australian travel".

Your website's Header Section will also include your Header Menu. You want to include only the main links that will lead visitors to where you want to encourage them - to include all your links for quick reference, I'd recommend using the Footer Section as it keeps the Header Section cleaner in appearance and easier to navigate.

Some link examples that are commonly included in the Header Menu include:

  • About us

  • Contact us

  • Testimonials

  • Pricing

  • Blog

  • Get a quote

  • Products/Services Menu

  • FAQs

WEBSITE FOOTER SECTION CONTENT (including FOOTER MENU)

List what you want included within your website's Footer Section in the box below.

Keep in mind that many experienced website users actually scroll immediately to the bottom of a website expecting to find certain shortcuts for your business, such as:

  • 'About us' information

  • 'Contact' address and phone number

  • Quick links to key areas of your website such as booking forms, contact form, FAQs, specific policies (e.g. shipping policy), popular blog posts and articles, and any other information that someone would want to find quickly.

  • ABN, privacy policy, website terms and conditions and specific industry legal links.

'HOME' PAGE CONTENT

Following on from the Header Section above, you need to think about what else you want on your Home page.

Keep in mind that many visitors won't click past your Home page unless they are engaged, interested and you have addressed their initial need when searching for your type of product or service. What seems interesting or critical to you, though, may not be what a visitor needs to be convinced to contact you! So make sure you think like your customers and clients do and 'speak' their language (think of the Header Call-to-Action suggestions above).

You'll want to include everything that differentiates your business or organisation on the Home page. For instance, if your travel agency's holiday packages include bonus travel insurance, and that is not standard with other companies, that's what you need to highlight. Additionally, your Search Engine Optimisation (SEO) benefits from having your key information on your Home page (don't hide it elsewhere - visitors may never get to it!).

Common inclusions on a Home page are:

  • Brief blurb about what makes your offerings different (e.g. we offer a 100% satisfaction guarantee).

  • Free offer to visitor if they signup for your newsletter (either a discount or free bonus with first purchase, a free information guide download, etc.)

  • Images that illustrate clearly what you offer.

  • Image and brief information of you and your team (which link to read more detail elsewhere)

  • 1-2 eye-catching testimonials (with link to read them all elsewhere)

  • Key product and service summaries (your most popular)

  • Map of your premises (how to get there if you have physical premises)

  • Logos of companies you have serviced in the past

  • New products and services you want to feature

  • Frequently Asked Questions (or a banner that clicks through to a separate FAQ page if you have a long list).

'ABOUT' PAGE CONTENT

This is where you need to include information about:

  • Your organisation or company's history (how long you've been in your trade, awards won, licenses, authorisations, etc.)

  • You and your team - highlight awards, qualifications, certifications and other things that distinguish you. Some organisations like to show images of the manager/owner/CEO and then other key staff, others keep descriptions more brief.

  • Your ethics, values, mission - don't make this too lengthy like some websites do! I'd recommend sticking to core values and why you opened your organisation or business in the first place. Its purpose is to show transparency and build trust in the website visitor.

  • Physical and postal addresses for your business

  • ABN and other Business Registration Numbers

  • Bank account details (if needed for payment of invoices and EFT)

  • Phone number(s)

  • Opening / trading hours

'PRODUCTS & SERVICES' PAGE CONTENT

Include here information on all your products and services you want displayed (if you also have an online store being built within your website, I will send you a separate spreadsheet for individual product details, so just note 'Online Store' below).

'BLOG' (MAIN INDEX PAGE) CONTENT

Include here a short summary introducing your Blog (if you want one included).

What is it going to be used for? Here are some ideas and then you can outline what a visitor might find useful to encourage them to read your articles. A critical thing to keep in mind is that blogs are incredibly useful for Search Engine Optimisation (SEO) as you can include common search terms for your products and services naturally within your articles.

Some ideas on how organisations and businesses use blogs effectively on their websites include:

  • Help / How to articles

  • Results and News

  • Recipes with lots of photos

  • Photos of recent tours (for instance, a travel company might want to include photos from recent tours which can include keyword information about your common destinations - this helps new visitors find your tours for those destinations).

  • Photos of products and services you have provided (for instance, a gardening service might use it to include photos and information about jobs they want to feature).

The uses for a blog are endless, so feel free to get in touch and discuss how you can use this most effectively.

I will also need you to give me 3-5 categories that you want to sort your articles by. Keep this classification simple but effective. For example, a recipe website might use 5 categories: Breakfasts, Lunches, Dinners, Snacks, Desserts and Drinks. A clothing website might use: Evening Wear, Work Wear, Special Occasion Wear, Everyday Wear, Seasonal Wear.

My service includes adding 3 articles to get your blog started (text up to 500 words + images), setting up your starter categories, and setting up your main Blog page which will categorise your articles for easy location.

'CONTACT' PAGE CONTENT

This will include a Contact Form that sends an email to your nominated email addresses (listed in above questions). This avoids listing email addresses on your website which reduces large levels of spam you can receive then your addresses are publicly advertised.

You can create multiple Contact Forms for different team members if desired - just outline below what you require.

This page will also display the main contact information for your business as outlined above (physical address if applicable, postal address, phone numbers, opening hours, and map for physical address).

ADDITIONAL CONTENT FOR OTHER PAGES

Include below information for any other pages, such as:

  • Testimonials (if using accompanying client images or logos, email these separately after submitting this form)

  • Frequently Asked Questions (FAQs)

  • Video links to embed (and name of page you want it on)

  • All other specific pages you want (include name of page, basic outline of what you want included on it and the content you want on it).

You can also use this section to let me know anything else you need to include, specific functionality you want and anything else I need to know.

SEARCH ENGINE OPTIMISATION (SEO)

Search Keywords and Phrases

To assist me in doing keyword research for your website, please include common search words and phrases you think your clients might use when looking for your products or services.

I will also do my own research, but the above helps me in knowing what your specific clients and customers might look for that is unique for you - particularly using your industry's terminology.

If you aren't sure, trying searching for your business and other competitors and see what comes up and even what AI assistance in search engines suggests.

LEGAL INFORMATION

Please include below any specific disclaimers, terms and conditions, privacy information and any specific disclaimers for your industry that you need to include on your website.

If you have an online store, please also include your Shipping Information, Payment Information, Product Returns Policies and any other specific disclaimers required.

While I can use general information to put together your Privacy Policy and Terms & Conditions pages, it is always best if you include the detail you need to protect your business in accordance with your own policies, consumer law and other legal obligations.

IMPORTANT NOTE: I am neither qualified nor able to provide advice on what you legally need to include on your website, so please be aware you will need to consult a legal professional if unsure of what you need to include on your website to protect yourself and your business when trading online.

ANYTHING ELSE YOU NEED ME TO KNOW?

Include it in the box below.

If you prefer, you can also email anything to me that is not addressed above or if you need to supply images, documents for upload or anything else separately.

Thank you for your time - it is appreciated to organise your website build project!
